In order to make your stay comfortable and memorable, we encourage our guests to understand what to expect from Oakwood.

We have listed information that will inform guests what to expect before they book with Oakwood. 

We endeavor to give our guest the best.  Therefore, we need your cooperation to make it happen.

Pre-booking Information

In order to make your stay comfortable and memorable, we encourage our guests to understand what to expect when they book with us. 

  • Oakwood is located 6Kms from the Mall Road. It is located amidst a forest so you should not expect shops, bazaars or shopping options around. Char Dukaan and Landour is 4Kms from the property and is a 20-min drive.

  • The commute to Char Dukaan in Landour is an uphill drive. 

  • The road coming down from the Mussoorie-Chamba Road to Oakwood (1Km) is a single, narrow road. However, it is navigable and cars (SUV's/Boleros/Sedans) ply on it daily. 

  • Parking at the property is free.

  • Taxi's and scooty's are available on hire from our vendors.

Booking Policies

Cancellations
Individual Bookings

If cancelled 7 days before Check-In - Full Refund.
If cancelled less than 7 days and more than 3 days before Check-In - Tariff for first night will be charged.
If cancelled less than 3 days before Check-In - Full amount of the entire stay will be charged.

Group Bookings (3 Rooms or More)

If cancelled 10 days before Check-In - Full Refund.
If cancelled less than 10 days but before 4 days of Check-In - Tariff for first night will be charged.
If cancelled less than 4 days before Check-In - Full payment for the entire stay will be charged.

 

  • Please note that if an online booking is modified or cancelled with the hotel’s reservations Office/ Hotel’s sales office, it cannot be further modified or cancelled online.

  • Certain room rates & types have restrictions and without benefits. In case you do not wish to opt for restricted rates & types, you can book the room(s) available on www.oakwoodforestretreat.com without benefits / restrictions.

  • In case of early checkout, you are liable to pay for the entire confirmed reservation. If not sure of the policy, contact the hotel for clarification.

  • Please note for reservation of more than one room for more than one night, in that case all rooms are determined as "reserved nights". For example, two (2) rooms reserved for four (4) nights would be (8) reserved nights, hence to such (8) reserved nights the applicable cancellation period is 72 hours.

 

REFUNDS

  • On cancellation of refundable booking the refund processing will take time between two(2)-to four(4) weeks to show refund back on your credit card statement. Reasons for the specified processing time are based on the billing cycle of your credit card company and processing time of the bank. The refund depends on numerous factors such as the hotel's cancellation policy, time of cancellation and processing fees etc. For more details refer to the cancellation policy mentioned above.

  • In case the reservation is not confirmed, we will not charge you anything on your credit card and release the whole amount if any that was held on it immediately. Now after we do this, it will still take two(2) to four(4) weeks for the bank to process the refund and to show the refunded amount on your credit card.

CHILDREN AND INFANTS

  • Child (up to 5 years) - Free of charge without an extra bed.

  • Children between 5 - 12 years -  Rs.1500 per child.

  • Children above 12 years - Prevalent reservation charges will be applicable.

 

NON-ARRIVAL TO THE HOTEL (NO SHOW)

  • Failing to arrive at the hotel on the arrival date the entire reservation will be cancelled automatically by the hotel and you will be charged for the entire reservation.

  • If you fail to check in on the first date but still continue your travel plan to stay at the hotel, please contact us to keep the room for you for the rest of the nights. Otherwise as mentioned above, the entire reservation will be auto-cancelled and no refund admissible.

 

SHORTENED STAY (EARLY CHECK-OUT)

  • Shortened stay is subject to the entire period charge whether or not you stay the entire period. If you know the change in your plan, please contact us at the earliest to minimise the charge by the hotel subject to cancellation policy.

 

RESERVATION

  • Please make advance reservations via telephone or book online to ensure room availability.

  • Advance in Cash or deposit /online Payment is mandatory to obtain the confirmed reservation. Please read the cancellation policy before obtaining the confirmed reservation.

  • Rates displayed online are not guaranteed until the confirmation voucher is generated. The rates are generally dynamic in nature. Once a rate is selected and a transaction is executed by you, no other rate is applicable either higher or lower and no refund is admissible.

  • We reserve the right to modify or cancel the reservation if it appears, at sole discretion of the hotel, that a guest is engaged in fraudulent, illegal or other inappropriate activity or the reservation is obtained fraudulently or with malafide intention or mistake or error.

  • All promotion/sale rates are restrictive fares and are non-refundable. Certain promotion/sale rates do not permit any changes in the hotel booking. Please check restrictions on the rate while booking. All extra services & amenities not part of this offer will be available at an additional charge only.

  • In case of non-availability of pre-booked room at the time of arrival, the hotel will offer an alternate similar standard hotel/ in a similar room type, at its discretion and without any further liability.

  • All rates are subject to prevailing local taxes as applicable on room tariff & services opted.

 

OCCUPANCY

  • Normal occupancy permits a maximum of two people per room. Additional person (if room size permits) is charged extra as per the prevalent rate of the Hotel.

 

DEPOSIT/ ONLINE PAYMENT

  • The deposit / online payment to be paid in advance equivalent to 50% of the room rate for the entire stay.

  • Group bookings of four or more rooms require cancellation notice to refund the deposit as specified in cancellation & early checkout policy.

The Elderly

Oakwood is located on a mountains-side and spread over 3 levels. As in any hill property, one has to tackle stairs and inclines to navigate around. 

We understand the shortcomings with the elderly. Therefore, if informed beforehand, we make it a point to give them rooms on the ground floor so that they are not inconvenienced.

In order to make their stay comfortable, we also relax our rule of not serving food in the rooms for the elderly. 

After all, they too deserve to be pampered.

Dog Policy

We love dogs. And we love to have our guests bring their dogs with them. We charge Rs.1500/- per night for dog accommodation. This includes boarding and 2 dog-friendly meals. 

  • Verification that vaccinations are complete and up to date is required

  •  Pets left unattended in the guest room when the guest leaves the hotel premises must be secured in a proper pet crate or carrier.

  •  Pets must be on a controlled leash at all times when not inside of the guest suite.

  •  Pets must only be walked on the designated pet area(s) of the hotel grounds.

  • Guests are responsible for cleaning up after the pet on hotel grounds and properly disposing of the waste in the outside dumpster or as otherwise designated.

  • Guests are responsible for all property damage (including and not limited to accommodation rooms) and/or personal injuries resulting from their pet. The hotel reserves the right to charge the guest’s account commensurate to the cost of any damages.

  • We have in-room amenities including a pet carpet, blanket and water bowl for you to use during your stay.

  • Acceptable Dogs - We welcome all well-mannered dogs. We reserve the right to require immediate removal of any dog that displays dangerous or unacceptable behaviour, including, but not limited to, biting, excessive noise (such as barking), evidence of disease, or urination/defecation in public areas.

  • Pets should not be allowed on the bed linen in the guest rooms.

  • The guest suite is subject to damage inspection at any time and upon checkout.
